Once your booking is confirmed, this guide will take you through the key decisions step by step, from working out your wedding-day timeline and choosing the moments you’d love captured to preparing everything we need for the day.

Plan Your Runsheet

Every wedding is different, but a little planning can help the day feel relaxed and unhurried. Use this guide to estimate how much time to allow for each part of your day, select the moments that matter to you, and make sure there is enough breathing room between events.

Groom/partner preparation — 30–45 minutes

Travel between preparation locations

Bride/partner preparation — 60–90 minutes

First look or private vows — 15–30 minutes

Travel to the ceremony — allow extra time

Videographer setup time — 15–20 minutes

Ceremony venue and detail shots — 10–15 minutes

Ideally completed before guests arrive.

Guest arrivals — 20–30 minutes before the ceremony

Ceremony coverage — 30–60 minutes

Congratulations and mingling — 15–20 minutes

Group/Family photo — 15–20 minutes

Travel between shooting locations

Bridal party photos — 30–45 minutes

Couple portraits — 30–45 minutes

Travel to the reception — allow extra time

Golden-hour portraits — 10–20 minutes

Private moment before entering the reception — 5–10 minutes

Reception room and detail shots — 10–15 minutes

Best completed before guests enter the room.

Reception formalities — 2–3 hours

This may include the entrance, speeches, meals, cake cutting, first dance, parent dances, games and bouquet toss.

Discuss the reception flow with your venue coordinator and DJ/MC or wedding planner.

Each venue may have its own requirements, so ask whether they can provide a sample reception timeline.

Before we arrive

Groom preparation

Everyone has showered before the photo and video team arrives.

Hair is styled or nearly finished.

The groom and groomsmen are ready to begin getting dressed.

Shoes, cufflinks, watch, tie, perfume and other accessories are together.

Wedding rings, invitations, vow books and meaningful details are ready to be photographed.

The preparation room is reasonably tidy.

Perents are ready to get dressed

Bride preparation

Hair and makeup will be finished, or close to finished, when the photo and video team arrives.

The dress or outfit is out of its bag and displayed on a suitable hanger

Rings, invitations, jewellery, shoes, perfume and other details are together in one place.

Vow books, letters and gifts are ready if they will be exchanged or read.

The preparation room is reasonably tidy with good natural light where possible.

Parents and anyone involved in a first look or reveal know when to be ready

Anyone helping with the dress is already dressed and ready.
